What your network looks like

Independently owned practices and clinics under one network or referral banner, each with its own clinicians, its own accepted insurers and funding routes, and some running from rooms shared with another practice two days a week.

Why a generic map falls short

Distance is the last filter a patient applies, not the first. They will travel forty minutes to a clinic that takes their cover and offers the treatment, and will not cross the road to one that does neither, so a locator that only knows addresses generates phone calls that end in an apology at both ends.

What visitors need to do

Not every healthcare networks business is the same

GP and primary care practices

Group practices with branch surgeries, where the real question is which door a registered patient should use today and whether a branch is open for on-day appointments. Branches share a list and a phone system but not their hours, and the branch that opens two mornings a week is the one patients get wrong most often.

Dental practices

The two things a patient wants before distance are whether the practice is taking new patients and whether the work they need is done there. Implants, orthodontics and sedation sit at some sites and not others, often because of one clinician. NHS and private availability changes month to month and is the single most rung-about detail in the trade.

Physiotherapy and allied health

Physio, podiatry, osteopathy and rehab, where the deciding factor is usually who pays. Insurer lists, self-pay pricing and employer schemes differ by site, and facilities differ too: a clinic with a rehab gym or a hydrotherapy pool is a different offer from a treatment room. Many also travel to patients, which is a radius rather than an address.

Specialist clinics with visiting consultants

The building is open all week but the consultant is in on Thursdays, so the treatment exists at that address only on certain days. The list a patient needs is really a timetable wearing a map's clothes, and a locator that shows the clinic without showing when the speciality is actually available produces a booking call that ends in an apology.

Setting it up

  1. 1. Start from treatments, not from sites

    Write down every treatment or speciality a patient would search for, then mark which sites provide it. Doing it in that order catches the ones offered by a single clinician at two of your nine sites, which is exactly the detail that a site-first list loses and a patient rings five clinics to find.

  2. 2. Record accepted cover per site

    Insurers, funding routes and self-pay go in as tags the visitor can filter on, because this is the question that generates the most wasted calls at both ends. Where cover differs by treatment rather than by site, say so in the card text rather than implying a blanket yes.

  3. 3. Add the practical detail patients ask about

    Custom fields for step-free entrance, parking, ground-floor rooms, languages spoken, clinician names, and whether the site is currently accepting new patients. None of it is glamorous and all of it decides whether someone travels. Keep the fields you do not want public internal rather than deleting them.

  4. 4. Send each site to its own booking route

    Practices book through their own systems and referrals arrive by their own routes, so each site gets an action button pointing at its own booking page, referral form or phone number. One central form for a network of independently owned practices is how referrals go missing.

  5. 5. Review unmet demand monthly

    The analytics page reports the rate of searches that returned nothing, and in healthcare that reads as demand for a treatment or an area you do not cover. It is also how you notice that patients are searching a term for a service you do offer under a different name.

You do not need a perfect data system to start. A clean first list is enough to test the visitor journey, then you can keep it current from the workflow that suits your team.

Can patients filter clinics by the insurers and funding routes each site accepts?

Yes. Accepted cover goes in as tags per site, filterable on their own or alongside treatment, so a patient settles before travelling the question they would otherwise ring five practices to answer. Where cover depends on the treatment rather than the site, say so in the card text rather than implying a blanket yes.

How do we list a treatment that only happens on the days a visiting consultant is in?

Tag the speciality on the site so it is findable, then put the timetable where a patient reads it, in a custom field or the description saying which days it runs. Opening hours describe the building, so a clinic open all week that offers the speciality on Thursdays needs both facts on the card.

Can every practice keep its own booking system instead of one central form?

Yes, and across independently owned practices it is the safer default. Can a clinic listing show step-free access, parking and languages spoken?

Does the locator capture patient enquiries or referral forms itself?

There is an optional enquiry form, and for most provider networks it should stay off. It takes a name, email, phone and a free-text message and emails them to the site the address routes to, which is fine for a general question and wrong for anything clinical: it is not a referral form, it holds no consent wording, the message travels by email, and it is not built to carry patient information. Leave it off and let each site's own phone number, booking page or referral route do the work, which keeps clinical enquiries inside the systems that already hold them.

What does a clinic finder cost for a provider network?

It starts at $19 a month for up to 200 sites, with 2,000 and 10,000 site plans at $39 and $79, and no Handled branding on any of them. The 7 day trial needs no card and there is no free plan after it. You supply the Mapbox or Google Maps key, so map traffic is billed to your own account at provider rates.
